Receptionist/Office Assistant

$18.00 per hour ($37,440 per year)

Monday – Friday 40 hours week, occasional evenings and weekends required

Position Summary

The Receptionist/Office Assistant position is entry-level. This Receptionist/Office Assistant, under the direct supervision of the Manager of Administration/Human Resources and Administrative Assistant, will provide administrative support for the organization. The Receptionist/Office Assistant will also provide back-office support to the Organization’s Administration and Human Resources Department. The Receptionist/Office Assistant will work independently and within a team on special nonrecurring and ongoing projects.

Duties and Responsibilities

  • Greet customers and visitors in a friendly and resourceful manner – follow guest standards (check-in, etc.)
  • Answer incoming calls and direct them as necessary, as well as take/retrieve phone messages and distribute them to staff
  • Distribute incoming mail and monitor and process outgoing mail
  • Retrieve and distribute incoming faxes, and fax documents as needed
  • Coordinate delivery and pick up of Federal Express and other messenger services
  • Ensure all forms are properly maintained, stocked, and updated as needed
  • Coordinate conference room reservations to ensure they are always up to standard
  • Prepare documents as needed
  • Maintain front office appearance neat and orderly
  • Support with Distribute payroll checks
  • Inventory and create office orders of supplies for the corporate office
  • Support with the process of office supply orders for all departments/programs
  • Coordinate deliveries and pick-ups as requested
  • Assist with the creation of files
  • Prepare packages for ongoing meetings and orientations
  • Conduct data entry
  • Perform other duties as necessary

Qualifications and Experience

  • Minimum 1-year experience in an office environment
  • Must have excellent Oral and Written Communication Skills
  • Must have excellent Documentation Skills
  • Must have a Professional Demeanor
  • Must have strong computer skills
  • Must have excellent Time Management Skills
  • Possess a thorough understanding of office administrative procedures and operational use of standard office equipment
  • Maintain professional appearance and manner
  • Possess a high level of interpersonal skills to handle sensitive and confidential situations
  • Possess excellent attention to detail
  • Ability to consistently take initiative and make sound decisions


High School Diploma or Equivalency

Additional Requirements

  • Fingerprinting and TB Clearance
  • CPR/First Aid Certification is a plus
  • Flexible with working hours, including evenings and weekends
  • Fluent in Spanish
