Position Summary

New Economics for Women is seeking a detail-oriented professional to fill the role of HR/ Payroll Specialist. This position will coordinate the onboarding of employees, maintain the compliance of personnel files, oversee the Time and Attendance System, and payroll processing for employees. The HR/ Payroll Specialist will work in a team environment, working under tight deadlines, with confidentiality and discretion to be maintained at all times. This position will provide high-level administrative support and enhance the effectiveness of the Human Resources Department, with specific responsibility for administrative functions such as organizational planning, time management, assisting with key projects, preparing correspondence, arranging conference calls, and scheduling meetings. In addition, this position will be responsible for coordinating projects that may involve personnel at all levels of the organization.

Duties and Responsibilities

Human Resources:

  • Coordinate the recruitment, hiring, and payroll procedures for employees (including I-9 verification and collection of all other Payroll forms).
  • Maintain Employment handbook, and policies
  • Maintain job descriptions
  • Responsible for processing employee status changes
  • Coordinates and manages projects and special assignments for HR by establishing objectives; determining priorities; managing time; gaining the cooperation of others; monitoring progress; problem-solving; and making adjustments to plans.
  • Routinely produces and revises documents by collecting information, transcribing, formatting, editing, or retrieving files, and proofreads copies for distribution. Prepares and edits slide presentations for various meetings.
  • Researches and compiles data and statistical information; prepares reports for special projects as assigned, which may require coordinating the activities of others.
  • Organizes and maintains personnel files; prepares records, provides a historical reference by utilizing filing and ADP systems (paper and electronic).
  • Researching, prioritizing, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications via NEW’s Intranet.
  • Reviews operating practices and procedures in order to determine whether improvements can be made.
  • Counsels with the Manager of HR on unit administrative matters, or on decisions affecting interdepartmental relationships.
  • Ensures smooth operation of the Human Resources Department by providing backup support for all clerical functions in Office
  • Performs clerical duties, such as opening, sorting, and distributing mail; copying, scanning, filing, and shredding
  • Prepares correspondence, including memos, letters, and creating flyers
  • Work collaboratively with the Human Resources/Accounting team.
  • Reconcile Credit card invoices and submit them for signature authorizations.
  • Coordinates the scanning and organization of termed and deceased files, including termed I-9 forms
  • Coordinate and organize the org-wide events.
  • Perform other duties as assigned

Payroll:

  • Responsible for the daily Time & Attendance system
  • Responsible for processing payroll in a timely manner
  • Responsible for ensuring payment processing for all benefits and fees
  • Oversee time card processing, including reviewing and editing electronic time cards
  • Develop Time & Attendance system training materials and conduct training for users and supervisors
  • Ensure distribution of payroll checks by collecting acknowledgments for each pay period
  • Ensure Time Clocks are functioning and coordinate maintenance, as directed by ADP
  • Responsible for processing employee status changes
  • Draft written communication materials for payroll and the Director of Human Resources as required.
  • Other duties as assigned

  • Occasionally required to lift up to 25 pounds and carry a distance of 10 feet
  • Occasionally required to push and/or pull up to 25 pounds a distance of 10 feet

Education

Bachelor’s degree preferred with three years of office experience; or an equivalent combination of education and experience. Previous HR/Payroll experience is a must, in a non-profit environment is preferred.

Additional Requirements

  • Must have a valid California Driver’s License, Liability Insurance, and an automobile in good working condition
  • Fingerprinting and TB Clearance
  • Flexible with working hours, including evenings and weekends
  • Fluent in Spanish is a plus
