Part-Time Program Manager

Position Summary

The Program Manager will be knowledgeable in business consulting, training, and counseling for women entrepreneurs to help them to overcome challenges in starting, growing, and sustaining their businesses. Also, provide data analysis and intelligence which will help improve NEW WBC’s efficiency by identifying program areas that can be improved, processes strengthened, and communicate findings.. As an ambassador for the organization, this person is also responsible for actively supporting the overall mission and vision of NEW.

Duties and Responsibilities

  • Conduct assessments to create goal-oriented action plans for each client
  • Formulate, prepare, and schedule business workshops/webinars
  • Manage client database to assure client profiles are complete, and accurate
  • Work in a team environment to plan and execute two events during the calendar year, to bring the community together and to promote the small businesses
  • Update the website calendar on the programs workshops/webinars during that month as well as update CRM (Neoserra/Apricot) database
  • Prepare monthly goals and program impact reports
  • Help design, document, and maintain system and program processes. Look for ways to improve
  • Maintain a positive work attitude
  • Conduct at least 30 15 one on one business counseling sessions for clients during every given month and updated in Neoserra upon conclusion. Counseling sessions should be available for clients on a weekly basis through Setmore Calendar
  • Evaluate, analyze and prepare 15 10 workshops per month (minimum 166 100 per year) from Monday to Friday and once a month on a Saturday for the center, bring outside speakers when necessary, staying in accordance with budget. Create and maintain a workshop/webinar library bank that includes, PPT, list of  speakers and time available. Forms required for each webinar are based on Growth Wheel Pro-Tools and any new webinar will need to be approved by the Director
  • Coordinate the program’s operation updates which include update Zoom, Eventbrite, Website,Neoserra, Google Calendar and Facebook with the monthly program for at least 10 workshops/webinars a month
  • Complete a confidential profile for each client who participates in the program with all the details required by the SBA-641 including but not limited to NAICS code, referred by, demographics. A monthly report on the progress of clients is required
  • Propose the subject matter expert/external consultants, make sure they fill out the contract, provide picture, bio, curriculum, list of referrals to be approved by Director
  • Coordinate the schedule for outside consultants staying within the budget for (maximum of 2 per client per year). Provided each month a report on the external consultations approved in compliance with budget.
  • Manage the communication pieces including writing at least two one success stories per month for reporting purposes and for the newsletter
  • Attend the weekly meetings and the quarter department meetings
  • Prepare and submit required reporting for governmental agencies, grants, and other institutions based on program criteria
  • Program Manager needs to be able to meet deadlines, adapt to change, anticipate problems, and solve them, including working with people, making decisions, following guidelines and/or dealing with the clients via email or phone, with a maximum of 24 hours response
  • Maintain summary reports for senior management
  • Assist with government audits, including the preparation and submission of data, to the requesting party.
  • Remain current on new legislation and regulatory rulings impacting the program. Help enforce adherence to requirements and advise management on required actions
  • Job includes meeting deadlines and maintaining excellent quality customer relations
  • Follow all NEW policies and procedures for employees
  • Other duties as assigned
  • Support all programs of the NEW WBC as needed
  • Be available on a call basis such as substituting a Program Manager or Coordinator
  • Work with management to maintain a brand consistency in every activity
  • Build relationships, embrace individuality, and foster a culture of growth mindset

  • Performs other duties based on business needs
  • Per SBA guidelines NEW WBC’s hours of operation are Monday to Friday, 9AM-5PM and on Saturdays online
  • Program Manager is required to be present at the office at least four times a week
  • The working location will be assigned to Canoga Park or Van Nuys offices
  • Program Manager will receive a laptop with all software necessary including a direct phone line from the organization to operate the program
  • The dress code is business casual to maintain a professional environment
  • To maintain a professional and confidential environment staff’s minors are not allowed to be at the office during working hours or present while meeting with a client

Qualifications and Experience

  • Extensive consulting and training of small business owners.
  • Program reporting and management of data requires the following skills: software efficiency needed in Microsoft suite Word -writing is required in English and Spanish (Spanish programs only), Microsoft Excel – advanced Excel is required to create reports including but not limited to spreadsheets, pivot tables, graphs, perform calculation and automation to process large volume of data.
  • Excellent verbal, organizational and written communication skills, including time management.
  • Ability to work with minimal supervision to complete tasks and projects.
  • Strong analytical and problem-solving skills.
  • Detail oriented.
  • Bilingual with an emphasis in Spanish is preferred.


  • BA/BS in Management, Marketing, Business, or equivalent experience.
  • Minimum 5 years’ experience in program management for small businesses.

Additional Requirements

  • Must have access to reliable transportation provide proof of current California driver’s license, acceptable driving record (current DMV H6 printout), and current liability auto insurance
  • Fingerprinting and TB Clearance
  • Flexible with working hours, including evenings and weekend
