Part-Time Program Assistant

Position Summary

The Program Assistant will serve as the support liaison in business consulting, training, and counseling for women entrepreneurs to help them to overcome challenges in starting, growing, and sustaining their businesses. As an ambassador for the organization, this person is also responsible for actively supporting the overall mission and vision of NEW.

Duties and Responsibilities

  • Formulate, prepare, and schedule business workshops/webinars.
  • Provide general support for Program Director, Managers and Coordinators.
  • Manage client database to assure client profiles are complete, and accurate.
  • Work in a team environment to support events during the calendar year, to bring the community together and to promote small businesses
  • Update the website calendar on the programs workshops/webinars during that month as well as update CRM (Neoserra/Apricot) database
  • Maintain a positive work attitude
  • Greeting visitors and clients
  • Assisting with client enrollments
  • Assisting in handling phone inquiries and requests for information
  • Assisting in setting and confirming appointments for the WBC staff and/or WBC Consultant(s).
  • Assisting with arranging training sessions and workshops/webinars, registration confirmation and preparation
  • Follow up on RSVPs and track client class attendance; collect and review evaluations.
  • Assisting with eblast and email invitations
  • Assisting with data entry and uploading documents into database programs, NEOSERRA, EDMIS II, etc.
  • Follow-up with consultants regarding data entry of case notes, as well as NEOSERRA and EDMIS II data base information, goal achievement
  • Assisting with maintaining local office materials
  • Attend the weekly meetings and the quarter department meetings
  • Evening and weekend work may be required on occasions
  • Will assist with essential day to day administrative job functions when/as needed
  • Evaluate, analyze, and support workshops for the center. Review forms are required for each webinar provided and any new webinar will need to be approved by the Director
  • Coordinate the program’s operation updates which include update Zoom, Eventbrite, Website,
  • Neoserra, Google Calendar and Facebook with the monthly program for at least 12 workshops/webinars a month
  • Complete a confidential profile for each client who participates in the program with all the details required by the SBA-641 including but not limited to NAICS code, referred by, demographics. A monthly report on the progress of clients is required
  • Program Assistant needs to be able to meet deadlines, adapt to change, anticipate problems, and solve them, including working with or managing people, making decisions, following guidelines and/or dealing with the clients via email or phone, with a maximum of a 24-hour response
  • Maintain summary reports for senior management
  • Job includes meeting deadlines and maintaining excellent quality customer relations
  • Follow all NEW policies and procedures for employees
  • Other duties as assigned
  • Some outreach might be required
  • Support all programs of the WBC as needed
  • Be available on a call basis such as substituting a Program Coordinator or Program Manager
  • Work with management to maintain a brand consistency in every activity
  • Build relationships, embrace individuality, and foster a culture of growth mindset
  • Able to multitask
  • Performs other duties based on business needs
  • Per SBA guidelines WBC’s hours of operation are Monday to Friday, 9AM-5PM and on Saturdays online
  • A Program Assistant is required to be present at the office at least once a two times a week
  • The working location will be assigned to Canoga Park, Van Nuys or Lancaster offices
  • Program Assistant will receive a laptop with all software necessary including a direct phone line from the organization to operate the program
  • The dress code is business casual to maintain a professional environment
  • To maintain a professional and confidential environment staff’s minors are not allowed to be at the office during working hours or present while meeting with a client

Qualifications and Experience

  • Experience in consulting and training small business owners.
  • Program reporting and management of data requires the following skills: software efficiency needed in
  • Microsoft suite Word -writing is required in English and Spanish (Spanish programs only), Microsoft
  • Excel – advanced Excel is required to create reports including but not limited to spreadsheets, pivot tables, graphs, perform calculation and automation to process large volume of data.
  • Excellent verbal, organizational and written communication skills, including time management.
  • Strong computer skills, including experience with applications such as Google Meet, and Zoom.
  • Preferred experience in non-profits.
  • Ability to work in a team environment to support organizational goals and projects.
  • Ability to work with minimal supervision to complete tasks and projects.
  • Strong analytical and problem-solving skills.
  • Detail oriented.
  • Bilingual with an emphasis in Spanish is preferred.


  • AA in Management, Marketing, Business, or equivalent experience.
  • Minimum 1 year experience in program management for small businesses.

Additional Requirements

  • Must have access to reliable transportation provide proof of current California driver’s license, acceptable driving record (current DMV H6 printout), and current liability auto insurance
  • Fingerprinting and TB Clearance
  • Flexible with working hours, including evenings and weekends
